Job Description:

The Laboratory Administrative Assistant reports directly to the Laboratory Director and the Regulatory Affairs Officer while also responding to requests by the CEO and CFO, the assistant provides administrative support in a one-on-one working relationship. The ideal individual will have the ability to exercise good judgement in a variety of situations, with strong written and verbal communications, administrative and organizational skills, and the ability to maintain realistic balance among multiple priorities. The Laboratory Administrative Assistant I will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and intellectual proprietary information with discretion.

Specific Responsibilities:

  • Build and maintain donor files
  • Daily print of batch records and associated documents for processing and their labels
  • Maintain batch files through completion
  • Assist in maintaining batch record master files
  • Maintain a calendar of lab equipment maintenance
  • Maintain a calendar of all equipment calibration dates
  • Maintain a comprehensive inventory of all lab equipment and their files
  • Maintain all equipment manuals
  • Maintain electronic and hard copy filling system
  • Maintain reagent aliquoting levels and labels
  • Assist in maintaining current lot numbers on processing material
  • Assist in managing par levels of production
  • Maintain a list of all chemicals in the building
  • Maintain all laboratory SDSs
  • Maintain a log of temperature/humidity for controlled environments
  • Assist on laboratory orders
  • Communicate with vendor representatives and suppliers
  • Assist in maintaining inventory of products
  • Prepare and print product labels
  • Maintain lab cleaning logs
  • Assist in Laboratory related procedures as directed by the Laboratory Director
  • Assist in managing equipment monitoring
  • Assist in writing equipment validations
  • Assist in continuous improvements
  • Provide general administrative and clerical support including mailing, scanning, faxing, copying and data entry
  • Use Microsoft Suite for work processing, spreadsheet, and database software to prepare reports and documents
  • Prepare and proof read documents including correspondence, reports, drafts, memos,standard operating procedures and emails
  • Assist in maintaining certificates of analysis
    • Including SOP creation and revision
  • Support the company’s quality management system as directed by the Quality Manager
  • Assist in Internal Audits as directed by the Quality Manager
  • Assist in corrective actions
  • Assist training new employees and managing the training records



  • Strong written and oral communication skills
  • Problem solving and analytical skills
  • Knowledge/use of scientific method
  • Strong computer/software background (Office Suite)
  • Time management and high organizational skills


  • 4-year degree in a Biological or Medical field preferred
  • Universal Precautions experience
  • 1 year in a medical associated setting preferred
